No matter how good the donor service strategies are for the nonprofit, there is always a chance of facing complaints from some members of the audience and their dissatisfaction. These are moments when customer service skills are crucial. In fact, if the audience feels unwelcome or that they are a source of annoyance, the organization may lose one of its supporters. Therefore, patience is one of the most important pillars of good customer service.
Accordingly, the donor service member should remain calm, listen carefully to the donor's complaint, and strive to understand the problem they are facing, which helps in calming the audience, especially if they feel that the person they are speaking with is willing to listen to them.
3. Be Responsive:
Making the donor feel that someone is listening to them also requires a good, logical, and helpful response to the challenge they are facing, making them feel that the organization is willing to solve this challenge. Therefore, the employee responsible for public service within the organization should rephrase the problem in their own words to show their desire to understand what the caller wants.
They should also clarify what they can do to resolve the issue, avoiding guessing or making predictions if they do not know the appropriate solution, as this will frustrate the caller if they are provided with incorrect information. They should respond that the issue will be looked into and that they will be contacted soon, which will surely satisfy the caller.
